Terms of service.

We are honored that you have chosen Gleam & Glo Parties for your next event! To ensure that your event is a success, please look over the information below. By paying your deposit and confirming your booking, you agree to the following terms and conditions. Thank you!


Contract: By agreeing to work with us, the Client agrees to the following terms & conditions. You, the person booking and receiving this email is considered the “Client” in this contract, while Gleam & Glo is considered the “Performer” or called by company name or “We”. This Contract will cover every single offer, service, and package on Gleam & Glo Parties website, with specific extra considerations mentioned below per particular service.

Communication: Text or email will be our primary means of communication. Text or emails allows multiple employees to see your conversation history so that everyone is on the same page. It also means that all information, questions, and changes are documented in writing, so there are never communication discrepancies. We respond to most emails and texts within 24 hours, with the exception of weekends. You are always welcome to call and leave a voicemail or text, but we are not always able to answer if we are out of the office, at another party, or on another call. You are encouraged to schedule a phone call ahead of time so that we can be sure we are available.

Deposit: A 50% NON-refundable deposit is required at the time of booking to secure your party or event date that goes towards your total service cost. You have 24 hours from paying your deposit to receive a full refund of your booking deposit if you wish to cancel for any reason. Bookings and deposits are non-refundable. Payments may be made through Zelle, Venmo, direct bank transfer, or Square (with an additional fee). A check is allowed for corporate companies upon request and must be provided in advance. Last minute events scheduled within 36 hours incur a 30% fee and require full payment upon booking.

Balance: The total invoice balance must be fully paid at least 48 hours before your event. Performers will not come to an event if the balance is not paid off. Cash payments may be permitted on a case by case basis.

Performers appreciate tips for a job well done, though tips are never expected.

Additional Time: The client understands that a timely departure is necessary in order for the performer to safely commute to his or her next event. If you wish to add time to your event, please contact us via email/text before your party. If a client realizes they want the Performer to stay longer than the booked time at the event, the client must speak to the Performer at the party about the matter, because it depends on their schedule. Staying additional time is at the discretion of the Performer. If additional time is needed at the event, it would be $50 per 30 minutes. This must be paid in cash at the time of the party before the additional time begins. If payment for the additional time is not collected, then the Performer will leave as planned. If a Performer foresees that a party could run longer than expected, she or he may pull aside the parent and discreetly ask if the parent would like the Performer to stay longer.

Smoking and Alcohol: The costumes and property of Gleam & Glo Parties are very valuable and will not be subject to smoke of any kind which can damage the costume/Performer. If a guest is seen smoking at your party, around the performer, the client is expected to ensure that the guest stops immediately. While we do not have a policy against alcohol around our Performers, excessive drinking should be avoided. If the Performer feels uncomfortable due to smoking or excessive drinking, they hold the right to end their visit early, with no refund provided to the client.

Cancellations: When a client books with us, we hold the character/time/Performer for them. Canceling causes our Performers to lose pay for the time they have dedicated to your event and causes the company to turn away other clients who would not have canceled. We understand that sometimes cancellations are needed, and we will allow cancellations at any time, before 48 hours, and refund the client if they paid the full amount in advance minus the deposit. Suppose, the client needs to reschedule their event due to weather, unforeseen circumstances, or illness, the client may reschedule the event once, free of charge, as long as the rescheduling happens at least 48 hours before the party. Rescheduling within 48 hours requires full payment, but it will be transferable, and we will work with you to find a new suitable date. If the client wishes to reschedule less than 48 hours before the party (or more than once), then the client will be subject to a 15% rescheduling fee, and the entire amount will be due anyway. If the client reschedules the day of the party, a 30% rescheduling fee will be charged. Please have a rain plan for your event as our costumes and wigs aren't permitted to stand in the rain. If it is a hot and sunny day, please ensure a proper shaded area is provided for the performer and the comfort of the children.

Activities: All activity options are listed on the website and available upon request depending on type of party. Certain characters may have certain activities based upon character integrity. This means that, for example, a super-hero may not provide a story time. Makeovers are only for makeover parties and photo shoots. Unless requested for alternative activity options, the Performer(s) would normally perform the package activities listed under your party package, however, it is always up to the discretion of the experienced Performer, and activities or their order may differ. A Performer may alter activities if he/she see the need during the party. Often these quick adaptations occur because of timing, amount of children, or based upon the children’s attention spans. The most important thing to us is that the children are both safe and having fun. If you wish the Performer to never stray from their planned activity, it is the client's responsibility to make sure the children are actively listening and participating.

Changes to Party Start Time: When you book us, the time you put is not your party’s start time. We need to know your CHARACTER ARRIVAL TIME. Changes in party start time by request of the client will be accommodated at the discretion of the booking team and are based on availability. Any changes must be made more than 48 hours from the party date. If you have a personal request day of for the Performer to start later, the Client would need to reach out and request that personally to the Performer to see if it can be accommodated.

Location: Proper accommodations will be provided by the client. If parking is scarce and not readily available, the client must secure a parking spot in advance for the Performer. The Performer will not be held responsible for overstaying past the scheduled time if they are running late due to the struggle of finding adequate parking within 10 feet of the party’s location.

If rain occurs and the event has been scheduled outdoors, it is the responsibility of the client to arrange for an indoor event. It is always appreciated when Performer’s are offered a water to drink by the Client. For temperatures below 60F degrees or above 90F degrees or raining, the party must take place in an indoor venue or with adequate shade / accommodations provided to cool down. Activities may be affected depending on the conditions and are therefore not guaranteed. Please have an inclement weather plan for your event.

Note we charge travel fees depending on the performer. We have Performers in various locations, and we will try to get the closest Performer readily available for your event, unless there is special circumstances such as a specific performer request or a specific princess. Travel fees are made to be as fair as possible for both Client and the Performer, based on the Performer’s residing location: $.0.69 per mile outside the 12-mile radius of their zip code one way and $12 per hour (measured without traffic) the other way.

Allergies: The client must inform Gleam & Glo Parties of any allergies to food or products such as nail polish, latex, acrylics, temporary tattoos, or face paints before the event or party or ensure the guest’s are responsible themselves for not receiving the activity.

The client understands that Gleam & Glo Parties are NOT responsible for any injuries or allergic reactions that occur at your event.


Photo Release: On occasion, our assistants or our professional photographer may take photos at your party as a training or marketing tool. Any photos you publicly post to any of our social media or review pages and any photos taken are hereby signed as released to be used by Gleam & Glo Parties for our website, social media, and promotional use. If you do not want any pictures of your party taken, please let us know in advance.

Damage: We understand that accidents happen, however, the client may be held responsible for any damage deemed EXCESSIVE to costumes and property of Gleam & Glo Parties during the client’s event. This includes tears, stains, spills, muddy ground if it’s a floor touching outfit on a rainy day and there is not indoor space, and children hugging the character with dirty hands from frosting or food. The cost to replace/repair damaged/broken costumes or materials will be billed to the client. Keep in mind that water slides may not be the best thing to have at a princess party. If your event is outdoors and there is water involved, mud may damage the costumes and you will incur a fee for the dry cleaning cost of that specific stain.

Discipline and Non-Participation: The Performer is responsible for the flow of the event and activities, but they are not babysitters. The client is responsible for monitoring disruptive behavior and attending to any child who does not want to participate. If a child has an potty accident, please ensure an adult present can help with that. If a child or guest at a party is being disruptive past a reasonable point the Performer has permission to change the party activities as needed OR to ask an adult at the party to escort the disruptive behavior away from the activities.


Adults at the Event: We ask that the parent(s) or guardian(s) of the birthday child please stay nearby for the duration of the party to attend to the possible needs of the children. Adults are welcome to stay and enjoy the performance, or be around amongst themselves while the kids are entertained, but we ask that onlookers keep the noise level to a minimum so the children do not get distracted and can adequately hear instructions from the Performer.

Activities: Gleam & Glo Parties purposefully plans plenty of activities and games so that the Performer never runs out of things to do with the children. If the client has a specific request for the activity order, they should make this known at least 72 hours before the party or to the Performer directly at the party (at which no guarantee can be made for specific activity last minute changes). If no preference is given, it is up to the discretion of the Performer to decide the activity order. All Performers are trained to "read the room" and lead activities in the order they feel best suits the needs of their guests. The Performer will do their best to complete all activities, however, on the rare occasion it may be that unforeseen circumstances do not allow all activities to be completed or for the total number of guests that exceeds recommendation to be painted/ tattooed/ etc, in which case the Performer will leave on time as scheduled unless the Client wishes to extend.

Liability: The client agrees to hold and keep harmless Gleam & Glo Parties and its Performers from any and all property damages and/or bodily injury damage caused by the client or any/all guests. Gleam & Glo Parties nor any of its contractors or employees are responsible for any damages that occur to any persons or properties for any client or company.

Safety: Our Performers are trained to keep the safety of your guests in mind at all times. If there is ever a situation where the Performer(s) or manager(s) feel unsafe, they may address the issue with the parent/guardian/client. If the issue is not resolved, the Performer will leave. We hold the right to leave at any time without refund due to safety concerns. This includes hostile language over texts and phone calls prior to the party. CHILDREN SHOULD NOT BE ALLOWED TO HIT, CLIMB OR HANG FROM THE CHARACTER, MERMAID, OR SUPER-HERO AT ANY TIME. Children may like to “punch, kick, and hit” our mascots and superheroes and Client must put a stop to this immediately. Your character will give 1 warning only to the main party parent, but WILL leave your party if this happens without refund. In this extreme case, activities will not continue.

Managers: If your party has a character assistant present, the assistant's role is to assist the character and NOT to control children/guests.


Your Event: Party details can always be found on your confirmation emails.


Breach: Any breach in this contract by the client automatically constitutes a cancellation of your party/event and any and all payments made to Gleam & Glo Parties will be forfeited by the Client.

PRINCESS CAMPS Additionally: Princess Camps fall in line with the usual party contract regulations. Campers and Parents of Campers understand that we are providing a day camp service instead of a birthday party and we will conduct things as safely as possible, checking IDs for pick ups and drop offs and sending photo, video, and text updates to the parent group chat for the day. Also the only differences with princess camps and party events is the deposit and cancellation. Deposit of $100 (non refundable) is due upon booking and the balance is due in full 3 weeks before the camp date. Once camp starts all payment is non-refundable. We do not take partial payments or prorated rates. Balance payments may be refunded if cancelled at least 2 weeks prior to camp date or cancelled due to "acts of God." If you wish to change your camp date or character, please let us know by 3 weeks prior to camp event date, no exceptions. Discipline and Non-Participation: The Performer and Counselors are responsible for the flow of the event and activities. The client is responsible for monitoring disruptive behavior and attending to any child who does not want to participate. If a child or guest at a camp is being disruptive past a reasonable point the Performer has permission to change the party activities as needed OR to ask an adult at the party to escort the disruptive behavior away from the activities.


FOR ROYAL MEET & GREET EVENTS and other corporate events, full balance must be paid 24 hours before event date. Safety is a top priority so event managers must ensure safety and ample weather protection of performer as stated in "weather" section above.


FOR LITTLE PRINCESS PHOTO SHOOTS: full payment must be made 24 hours before scheduled shoot date. If there is inclement weather, it may be highly advisable to reschedule per recommendation of the photographer. It is up to the parent's responsibility to ensure child participates in photos. Time is strictly 30 minutes.


FOR Virtual & Mail Delivery Options: Character will only drop mail off at the driveway or doorstep of home and have meet & greet for no more than 15 minutes. For any Zoom or Facetime calls, parent or guardian must ensure child is paying attention and participating in activities.  


Our guarantee to you in unforeseen circumstances:

In the extremely rare event that the following incident occurs, we want you to know exactly how we will compensate you:

Tardiness: We give our Performers an extra 20-30 minutes more driving time than they should need for every event, but unfortunately traffic and other incidents can occur. As we navigate to your party, we ask for your patience and will continue to give you ETA updates as we have them. We will always stay the full length of time that you have booked us for and will give you the following options to help amend the situation.

20- 30 Minutes Late: We would mail you and your child a special card and gift in the mail from their character, as well as a coupon for future use.

30 - 60 Minutes Late: We would refund you 15% of the cost of your party, as an apology for this inconvenience. We will also send your child a special card/note in the mail from the character, or a short video, and a 30% off coupon for future use.

60 + Minutes Late: We will give you the option to cancel the party for a full refund and give you a free 30-minute visit at a later date OR we will continue to your party and will refund you 50% of the total amount you paid.

CANCELLATIONS ON OUR END:

If a performer / character is suddenly unavailable: In the extremely unlikely event that we are unable to send the correct character to your party or if they have been injured in some manner and are unable to performer (would be extremely rare), we will make it right by offering you the choice of one of the following options:


1: If there is 48 hours or more notice from the Performer scheduled, and we can’t find a replacement for that specific character for whatever reason, we will provide a list of characters available for your party and allow you to choose one of them instead. In this instance, your party will proceed as planned with the new character, and the originally scheduled character will send your child a video wishing them a happy birthday as soon as possible, so that you may keep your planned party date. We will give you the option to cancel the service for a full refund (including deposit) in this case as well.

2: If there is a last-minute change, accident, or change for some reason within 48 hours of the event or even day of the event, we will inform you and walk you through options that can shift day-to-day. Option 1: Would be to find a last-minute Performer who is available to cover, whether it is the same character or a different one (They may not be able to arrive at the exact time scheduled, so we will walk through that with you on the phone). Option 2: We will give you the option to cancel for a full refund (including deposit), and we will gift you a free 30-minute session with the character of your choice, that can be scheduled at a future date. We will also provide a gift for your child at the rescheduled session to make up for the inconvenience.

3. If you have more than one character booked, and it is an “additional character” who cannot make it to the event anymore, we will give you the option to choose someone else in their place. If there is no other performer available nearby who can replace them, we will give you the option to cancel them or to pay the additional travel fees involved with having them. If you would rather cancel the additional character on the basis they are no longer available on our end, we will refund you the price for the additional character, and send you a video from that character wishing your child a happy birthday at a later date.

This contract is hereby agreed to by all parties. This is to ensure each event goes as smoothly as possible.
